The conference must be booked via the online form provided by this website. Each booking becomes legally binding upon receipt and upon the organizers written confirmation. Once the booking has been processed, the participant is sent confirmation and an invoice.

Participation as a student or graduate student is only valid with the corresponding proof (student identification or similar) and is restricted to people up to the age of 35. The proof must be valid at the time of the event.

Closing date for bookings

Depending on the capacity of the relevant venue, bookings are possible until the beginning of the conference; the editorial closing date for inclusion in the list of participants is 3 weeks prior to the start of the conference.

Payment and Invoicing

Attendance fees must be paid at the time of online registration by SEPA bank (IBAN/BIC) transaction. Online bookings are made on an encrypted page, so that no one can access your data. As soon as you have paid, you will be sent written confirmation and an invoice (noting receipt of funds) for your records will be handed over at the conference.

From the second invoice amendment requested by the participant, a fee for the additional word involved of EUR 20 per amendment will be levied, regardless of whether it deals with the addition of a new person/participant or a change of address or similar.

Conference participation: If a booking is cancelled up to three weeks before the start of the conference, the attendance fee is reimbursed less an administrative fee of EUR 30. If cancellation is made at a later date, the participant is charged 80% of the attendance fee. Cancellations are only accepted in writing (i.e. by fax, surface mail or e-mail). The relevant cancellation date is the date of receipt.
If a participant does not come to the conference or leaves before its end, the full attendance fee remains payable.
If the conference is cancelled by the organizer, any fees that have been paid will be reimbursed in full.
Participants are not entitled to further recourse towards the organizer.

Sponsorships and exhibitions: Cancellations up to 3 months before the conference are subject to a 20% administrative fee. If cancellation is made at a later date, the sponsor/exhibitor is charged a fee of 100%. Cancellations are only accepted in writing (i.e. by fax, surface mail or email). The relevant cancellation date is the date of receipt. If a sponsor/exhibitor does not come to the conference or leaves before its end, the full fee remains payable, unless the sponsor/exhibitor provides written proof in a specific instance that the loss or expenses are lower.

Substitute participants

We would be pleased to accept a substitute participant appointed by you. The substitute participant needs to be appointed by you in writing, which is free of charge. Any differences between attendance fees are either charged or credited to the participant. From the second invoice amendment requested by the participant, a fee for the additional work of EUR 20 per amendment will be levied.

Our website may be used without entering personal information. Different rules may apply to certain services on our site, however, and are explained separately below. We collect personal information from you (e.g. name, address, email address, telephone number, etc.) in accordance with the provisions of German data protection statutes. Information is considered personal if it can be associated exclusively to a specific natural person. The legal framework for data protection may be found in the German Federal Data Protection Act (BDSG) and the Telemedia Act (TMG). The provisions below serve to provide information as to the manner, extent and purpose for collecting, using and processing personal information by the provider.

We will not transfer any personal data to a third-party, nor use them for advertising. The only exception applies to our payment service provider paymill, to whom we transfer your name and your payment data (credit card or bank account).

Please be aware that data transfer via the internet is subject to security risks and, therefore, complete protection against third-party access to transferred data cannot be ensured.

Our website makes use of so-called cookies in order to recognize repeat use of our website by the same user/internet connection subscriber. Cookies are small text files that your internet browser downloads and stores on your computer. They are used to improve our website and services. We make use of so-called “session cookies” that are deleted once you leave our website.

You can prevent cookies from being installed by adjusting the settings on your browser software accordingly. You should be aware, however, that by doing so you may not be able to make full use of all the functions of our website e.g. to register for the conference.

Integration of services and contents provided by third parties

It may occur that within this online presence, contents of third parties (e.g. YouTube videos, data from Google Maps, RSS feeds or graphics from other websites) are included. This always requires that the providers of these services (hereinafter referred to as “third party providers”) perceive the IP address of the users – without the IP address they would not be able to transmit the contents to the browser of the respective user. The IP address is crucial for the presentation of these contents. We aim to publish only contents whose providers are using the IP address solely in order to distribute the contents. However, we have no influence should a third party provider store the IP address for statistical purposes, for example. As far as we are aware of this, we point this out to our users.

On the basis of the Federal Data Protection Act, you may contact us at no cost if you have questions relating to the collection, processing or use of your personal information, if you wish to request the correction, blocking or deletion of the same, or if you wish to cancel explicitly granted consent. Please note that you have the right to have incorrect data corrected or to have personal data deleted, where such claim is not barred by any legal obligation to retain this data. You may request deletion of your data via an email to info@scm-2017.org.
